The teams at Envoy and Proxyclick have both built great products. Both products are workplace efficiency tools at their heart, but there are important differences. What's the difference between Envoy and Proxyclick?

Envoy and Proxyclick are both workplace efficiency platforms. They are both pitched as large enterprise solutions that give users visitor management, hybrid working tools, and tenancy management tools.

1. Visitor management core features

Both provide many key features you'd expect – visitor and contractor pre-registration, digital sign-in, pre-filling data for returning visitors, badge printing, and host notifications. Both offer mobile app and kiosk sign-in options. They both can make use of QR for sign-in too.

How does EVA Check-in stack up?

We have kiosk, mobile app and QR code check-in too, plus two other check-in options. Geofence (also known as a virtual perimeter) sign-in is great for when you need a true hands-free option at, say, construction sites or if you need a set-and-forget check-in method, that means staff don't need to remember to use the app or use a kiosk for example. It simply logs sign-ins and sign-outs itself. We also have the EVA Pass. It is a reusable digital check-in option for pre-registered visitors. All plans can use any combination of mobile app, kiosk, QR code, and EVA Pass at the same site without incurring any extra charges. For example, some of our customers use a kiosk at their main reception and a simple QR code poster at the rear entrance.

2. Hybrid working core features

Envoy and Proxyclick provide many key features you need for greater workplace efficiency. Staff sign-in, desk and meeting room booking, sending reminders, and delivery management. The Envoy mobile workplace app is used for visitor and staff management, while with Proxyclick, staff will need to download a separate mobile app (Proxyclick Proovr) to access the workplace management features.

How does EVA Check-in stack up?

EVA Check-in has a dedicated booking module that can used for hotdesk and car park booking.  EVA Check-in works best for customers who use a ‘pod-based’ approach to booking – e.g. you can sit anywhere in the marketing desk pod – rather than needing to manage and book individual desks.  We don't yet have the ability to manage deliveries – but this is on our product roadmap. We prioritized other things for hybrid working, like the ability to bring the In/Out Board into Microsoft Teams, and features to support evacuations, and our onsite forms capability which lets staff fill out any forms they need while checked in.

3. Technology stack

The Envoy and Proxyclick visitor kiosk sign-in apps are available for iOS only. Their mobile apps (mainly designed for staff rather than visitors) are available for both iOS and Android.

How does EVA Check-in stack up?

EVA Check-in mobile and the visitor kiosk apps are available for iOS and Android users. We know that cost can be a factor when buying tablets – that's why we made our Android kiosk app so that more workplaces can improve their welcome experience. You can also use a lightweight version of the kiosk in any browser– which means a wide range of devices including Windows machines, are supported. Our Premium Kiosk offering is specially designed for large-format Windows touchscreen devices.

4. Unlimited usage

Sifting through the plans, it's clear that both tools offer some features that are unconstrained by volume, such as the number of check-ins, staff, notifications, and kiosks at the same site. But be careful with Envoy plans; you will need to check for limits on the most basic plan as there are restrictions. In contrast, Proxyclick has no limits to the number of visitors, check-ins, notifications, hosts, and kiosks on site.

How does EVA Check-in stack up?

Like Proxyclick, we've stayed true to the idea of "no limits". We wanted all subscribers to use the product without fear of being capped or facing additional charges for volume of check-ins. One of our customers manages over 13,000 sign-ins each month and has the same monthly charge as a business managing just 200 sign-ins, for example. Many customers have different check-in workflows based on the type of visitor they are (for example, visitors, contractors and staff) and others have many entrances using different check-in options (like a kiosk at front reception and QR code on the loading dock). EVA Check-in also has no limits on the number of admin users or hosts. EVA Check-in gives users great value for money.

EVA Check-in also lets you add multiple check-in zones within the same site for no additional cost.

5. Pricing

For many of you getting value for money is really important. Aside from the extremely limited basic plan from Envoy, the base business Envoy plan is over $130/site/month USD and Proxyclick base business plans start from $100/site/month USD.

How does EVA Check-in stack up?

The comparable option from EVA Check-in gives users more features at a lower price. With our commonly used business plan priced at just $80USD/month, businesses can check-in unlimited numbers of visitors, contractors, and staff, have multiple visitor types and check-in flows, enable single sign-on using Microsoft, run custom inductions and sync all their team with their Microsoft Entra ID (formerly Active Directory) for example. We offer our customers great value for money on all our monthly plans – and if you change your mind, we don’t lock you in with a ‘discount’ for a year or more.

6. Multi-site businesses

Both the Envoy and Proxyclick websites refer to enterprise pricing, which may include multi-site discounts. However, as the discounted pricing or the scope of enterprise plans isn't listed on their websites, we couldn't review it.

Proxyclick also only lists its pricing on third-party sites rather than its website.

How does EVA Check-in stack up?

We're transparent about our pricing. Your 6th, 7th, and 8thsites etc. get a whopping 80% discount. Try our pricing calculator to see it for yourself. 7. Wrap around safety

Sign-in and safety often go hand in hand. However, creating safety inductions certificates isn’t possible in either Envoy or Proxyclick platforms. Both these platforms focus their efforts more on the security of the sites they run in rather than safety.  While you can customize the questions asked at check-in there is no certificate created as part of this.

How does EVA Check-in stack up?

You can run simple or complex inductions and gather specific information from contractors. You can see at a glance the certifications and permits of every visitor. EVA Check-in's onsite forms capability is very flexible, allowing visitors, staff, or contractors to complete whatever forms you need. Whether that is letting guests order a coffee on arrival or complete a near-miss report, it covers all the bases. These forms also work without the mobile app – which is suitable for more occasional visitors or those with a lower-tech threshold.

8. Evacuations

Knowing who is onsite to evacuate is part of being a responsible host and employer. Envoy has a limited evacuation management functionality – it relies on a report of who is onsite without any mustering capability. Using the Proxyclick receptionists mobile app, receptionists can check off people in real-time (very useful for larger sites or those with many evacuation points).

How does EVA Check-in stack up?

All EVA Check-in plans come with an expert evacuation feature as standard. You can activate an evacuation from the kiosk or web portal in just a few taps. You can have multiple wardens check off people as they leave the building from different exits in real time. All are managed from either a mobile or tablet.

You could also notify visitors of hazards in a specific area using a broadcast message if you need to.

9. Integrations

Integrations with other systems enhance the functionality and efficiency of the sign-in process. Envoy and Proxyclick have integrations with Microsoft Entra (formerly Active Directory) and communications tools like Slack and Microsoft Teams. In addition to the communications tools integrations, they have a wide range of integrations with large enterprise tools like access controls, wifi systems, and event management tools.

How does EVA Check-in stack up?

EVA Check-in also integrates with Active Directory, Teams, and Slack. And while we don't have any integrations with any access control software, wifi or event tools, we do have a deep integration with Procore (construction management software).This integration is a huge time-saver for our construction customers, as the time onsite data syncs automatically into the Manpower log. Our generic webhook integration capability means EVA Check-in can be integrated into almost anything using Zapier or Power Automate (also available with Envoy and Proxyclick).

10. Privacy

Both Envoy and Proxyclick have user authentication - they both have Single Sign On (though on their Enterprise plans only). They both have ISO 27001 accreditations too. We tried to compare the data masking and privacy features like data retention settings that are built into Envoy and Proxyclick but found that it was less clear what either product offers – if anything.

How does EVA Check-in stack up?

If your business uses Microsoft, then you’ll be able to authenticate using your Microsoft accounts with EVA Check-in. This enables single sign-on regardless of the plan you’re on and MFA (if your MS account is enabled for MFA).  Using Microsoft accounts means off-boarding is taken care of too.  EVA Check-in users can customize their data retention policies and it also supports data masking for admin users.   There is also no unintentional data leakage, if say a person with the same first name visits your workplace.

Finally, here at EVA Check-in we’re proud that we continue to meet our ISO 27001 accreditation as well as use datacenters that have this accreditation also. This means that we (and our datacenter partner) follow best practice for securely managing all information.
